As an Event Coordinator you plan, organise and deliver a wide range of events — from corporate conferences and product launches to weddings, festivals and charity fundraisers. Your day-to-day work involves sourcing and booking venues, negotiating with suppliers, managing budgets, coordinating staff rosters and liaising with clients to ensure their expectations are met. You monitor activities on the day itself, troubleshoot problems as they arise and ensure all legal requirements such as public liability insurance and health and safety regulations are in place. After each event you gather feedback, review costs and compile reports to improve future planning. You typically work alongside marketing teams, caterers, audio-visual technicians, security personnel and local authority representatives.
Listen: a day as an Event Coordinator
Your alarm goes off at 7:15 a.m. You are coordinating a corporate conference for eighty delegates at a hotel in Cork city today, and your day begins before you even leave home. Over breakfast you check your email and see that the audio-visual company has flagged a fault with one of the microphone units. You ring their technician straight away and agree they will arrive forty-five minutes earlier than scheduled to fix it. You are on-site by 8:30 a.m. The first hour is spent walking the conference suite with the hotel's banqueting manager, checking that the room layout matches the floor plan you submitted last week, confirming the catering order for the mid-morning break, and signing off on the health and safety checklist that your public liability insurance provider requires you to keep on file.
Leaving Certificate subjects such as Business, Economics, Home Economics, Art, and languages are all useful for entry into event management programmes. At further education level, QQI Level 5 or 6 PLC courses in Event Management or Hospitality are offered by Colleges of Further Education nationwide and provide a practical route into the sector. At higher education level, Level 7 Bachelor of Arts in Event Management is available at institutions such as ATU and SETU, while TU Dublin and other technological universities offer Level 8 Honours Bachelor degrees in Event Management or Hospitality Management. A Level 9 postgraduate diploma or master's in Event Management or Marketing can support progression into senior roles. No statutory professional registration body currently governs event coordinators in Ireland, though membership of bodies such as Meetings Industry Association of Ireland (MIAI) is valued by employers.
Many event coordinators begin in support roles such as events assistant or hospitality officer, often gaining initial experience through internships or part-time work in hotels, conference centres or event agencies. With two to four years of experience, progression to Event Coordinator or Event Manager is typical, with responsibility for larger budgets and more complex events. Senior roles such as Head of Events, Events Director or Conference and Banqueting Manager are achievable in larger organisations including hotels, universities, government bodies and multinational companies. Some experienced professionals move into self-employment, running their own event management consultancies or wedding planning businesses.
AI tools are increasingly used in event management for tasks such as automated attendee registration, personalised marketing communications and real-time budget tracking, which reduces administrative workload. Chatbots and AI-driven platforms can handle delegate queries and scheduling, freeing coordinators to focus on creative and relational aspects of the role. Venue-matching and supplier comparison tools powered by AI are making procurement faster and more data-driven. However, the human elements of client relationship management, creative concept development and on-the-day decision-making mean that skilled event coordinators remain essential and are unlikely to be displaced by automation.
