As a Film Production Assistant you support the location management team by helping to find, assess, and coordinate filming sites outside the studio. Your daily tasks include scouting potential locations, taking photographs and notes for the location manager, liaising with landowners and local councils, and assisting with the logistics of moving cast, crew, and equipment to each site. You work closely with the production director, the pre-production team, and other on-set departments to ensure shoots run smoothly and safely. On busy productions you may also help manage road directions, permits, and site security during filming days.
Listen: a day as a Film Production Assistant
Your alarm goes off at 6:15 a.m. The production is shooting a period drama on location outside Wicklow town, and base camp — the cluster of trucks, trailers, and equipment vans — needs to be operational before the first crew members arrive. You drive out in your own car, stopping at a petrol station to pick up a printout of the day's call sheet, the single-page document that lists every department's schedule, locations, and contact numbers. By 7:00 a.m. you are at the field gate, guiding the catering truck into position and checking that the generator van has clearance to park without blocking the access road. Once the location is set, your location manager, Siobhán, briefs you on the morning's priorities. The local county council has raised a query about the noise permit, so you phone the roads department in Wicklow County Council to clarify the approved hours. You keep a written log of the call, because on a professional production every council conversation is documented.
There is no single mandatory degree for this role, and many Production Assistants enter through a combination of further education and hands-on experience. A Leaving Certificate with strengths in English, Geography, Business, and Media Studies provides a useful foundation. A QQI Level 5 or 6 PLC course in Film & Television Production, available at a number of Colleges of Further Education across Ireland, offers a practical entry route. Alternatively, a Level 7 or Level 8 degree in Film Production, Media Production, or a related discipline from institutions such as IADT, TU Dublin, or DCU can strengthen your prospects. Screen Skills Ireland delivers short professional development courses and workshops that are highly regarded by Irish employers including productions based at Ardmore Studios in Wicklow and Troy Studios in Limerick. Building a portfolio of on-set experience through student films, short productions, and unpaid or low-paid runner work is often just as important as formal qualifications at this level.
Most people begin as a runner or general Production Assistant on short films, advertisements, or television productions, building on-set experience before specialising in locations work. With experience you can progress to Location Scout or Location Coordinator, taking on more responsibility for negotiations and logistics. Further advancement leads to the role of Location Manager, overseeing entire location departments on major film or television productions. In Ireland, the continued growth of international productions at studios such as Ardmore and Troy means there are realistic opportunities to work on high-profile projects and eventually move into senior production management roles.
AI-powered mapping and image-recognition tools are beginning to assist with the initial stages of location scouting, allowing assistants to filter large databases of potential sites more efficiently. Automated scheduling and logistics software can reduce some of the administrative burden associated with coordinating complex multi-location shoots. However, the core work of assessing a location in person, negotiating with landowners, managing on-site relationships, and ensuring crew safety relies heavily on human judgement and interpersonal skills that AI cannot replicate. Overall, AI is likely to make the role more efficient rather than replace it, freeing up time for the relationship-driven aspects of the job.
