As a Practice Manager you are responsible for the smooth day-to-day running of a GP surgery, primary care centre, or specialist clinic. You oversee administrative and clinical support staff, manage rotas and HR matters, and ensure the practice complies with HSE contractual obligations and GDPR regulations. Your role covers financial management tasks such as budgeting, processing HSE capitation payments, and monitoring expenditure. You liaise regularly with GPs, nurses, healthcare assistants, and external bodies such as the HSE, private health insurers, and medical suppliers to keep the practice operating efficiently.
Listen: a day as a Practice Manager
You arrive at the practice at 8:00 a.m., half an hour before the first patients are booked in. You unlock the building, check that the clinical rooms are set up, and log into the practice management software — most Irish GP practices use systems such as Socrates or Health One — to review today's appointment schedule. One of the receptionists rings in sick, so before you have even made your coffee you are rearranging cover and sending a message to a part-time staff member to see if she can come in. By 9:15 a.m. the waiting room is filling up. You spend the next hour at your desk working through the post and emails. There is a query from the HSE about the practice's GMS capitation return — this is the monthly payment the practice receives per registered medical-card patient — and figures need to be checked against your patient register before you can reply. You also process two invoices from a medical consumables supplier and update the expenditure spreadsheet you maintain for the lead GP.

icould career stories
Some videos were filmed in the UK. The work itself is the same, but the exams, qualifications and pay they mention are British — we include them so you get a feel for the job.
A Level 7 or Level 8 degree in healthcare management, business administration, or a related field is the most common entry route into this role. Helpful Leaving Certificate subjects include Business, Accounting, and Biology, as these underpin both the commercial and healthcare dimensions of the work. Courses such as the Bachelor of Science in Healthcare Management at TU Dublin or similar programmes at other technological universities and UCD provide a strong foundation. A QQI Level 5 or 6 PLC in Medical Administration or Business can also serve as an entry point into junior administrative roles, from which you can progress with experience. Some practitioners hold postgraduate qualifications in health services management (NFQ Level 9), particularly in larger or multi-site practices. There is no single statutory registration body for practice managers in Ireland, but membership of professional associations such as the Irish Practice Managers Association (IPMA) is widely valued.
Many Practice Managers begin their careers in medical reception or healthcare administration roles, gaining experience of the operational side of a GP or clinic setting before stepping into management. With a relevant Level 7 or 8 qualification and a few years of experience, you can move into a full Practice Manager position in a single-GP surgery or multi-doctor practice. From there, experienced managers may oversee larger primary care centres, group practices, or move into healthcare operations roles within the HSE or private healthcare companies. Postgraduate study in health services management can open doors to senior management positions across the wider Irish healthcare sector.
AI-powered scheduling, automated appointment reminders, and intelligent triage tools are already reducing the administrative burden on front-of-house staff in many Irish practices, which means Practice Managers must be comfortable evaluating and implementing new digital systems. Data analytics tools are helping managers monitor practice performance, patient demand patterns, and financial metrics more efficiently than traditional spreadsheets allow. However, the core responsibilities of managing people, negotiating with the HSE, ensuring legal compliance, and maintaining a positive workplace culture remain firmly human tasks that AI cannot replace. Practice Managers who embrace technology and use it to free up time for strategic work are likely to be the most effective and sought-after in coming years.
